This policy explains what personal information we collect when you use our pool and spa services, why we collect it, who we share it with, and what choices you have.

We are a pool and spa service company in Burton, Michigan. We collect information to do the work you have asked us to do — nothing more.

Text messages (SMS)

We never sell or rent your mobile phone number. We never share your mobile number or your text message consent with any third party for their own marketing. The only companies that see your number are the ones that help us send the message, listed under Who we share information with below.

If you give us your mobile number and agree to be texted, we may send you:

We do not send promotional or marketing text messages.

If your call to us is cut off. Our phone line is answered by an automated assistant. If you ring and hang up in the first few seconds without speaking to it, our software sends one text message to the number you called from, replying to that call:

It goes only to the number that dialled us, never to another number on your record. We send it because you telephoned us and we could not speak to you, not because you agreed to receive texts, and it does not sign you up to anything: we will not send you quotes, invoices or scheduling texts on the strength of it. If you have already asked us not to text you, we do not send it at all.

If you reply, our software will ask you a few short questions — the service address, whether it is a pool or a spa, and what is going wrong — so that we can log the job without you having to ring back and start again. It asks at most six questions and then stops. When it has enough, it tells you the request number and a person takes it from there.

You can have a person at any point. Say so — "a real person", "call me", anything of that kind — and the software stops asking and passes the conversation to our office. It also stops the moment a member of our staff replies to you, so you are never being asked questions by software and a person at the same time. Reply STOP and it stops altogether.

How you agree. We ask you when you give us your number — on the phone, in person with a technician, or on our website. It is a question, and it is never a condition of booking work, paying an invoice or anything else we do for you. What we ask, word for word:

Would you like Affordable Pool & Spa to text you about your pool or spa job — quotes, invoices and scheduling? It's entirely up to you. We'll call you instead if you'd rather, and it makes no difference to your service or your price. If you say yes: message frequency varies, message and data rates may apply, and you can reply STOP any time to stop them, or HELP for help.

On our website the same question is printed beside a checkbox that starts unticked. Ticking it is optional, it is not required to send us a service request, and submitting the form sends you no text of any kind. If you text our business number first, we take that as your agreement to reply to you.

We record which answer you gave, when, and how you gave it. Saying no changes nothing about your service, your schedule or your price — we will call you instead.

How to stop. Reply STOP to any message and we will stop texting you. You can also call us on 810-422-5058 and ask. Stopping texts does not affect your service — we will contact you another way.

Message frequency varies and depends on your job. Most customers receive a handful of messages around a visit, not a regular schedule.

What we collect

Your contact details — your name, business name if you have one, phone numbers, email address, billing address, and how you prefer to be contacted.

Your property — the service address, and details about your pool or spa so our technicians arrive prepared: size and volume, what kind of pool or spa it is, and the make, model and serial number of equipment like pumps, heaters and filters.

Access information — gate codes and access instructions, and whether there are dogs or other animals on the property. We hold this only so a technician can reach your equipment safely, and only staff can see it.

Your service history — quotes, jobs, invoices, what was done and when, notes our technicians made about the work, and photographs of the work and equipment.

Photographs taken at your property, of your pool, spa and equipment — before and after work, faults we find, and water test results. We remove the location and camera data embedded in photographs before storing them.

Your signature if you approve a quote electronically, along with the date and time.

Records of our contact with you — the emails and text messages we send you and your replies, so whoever picks up your call next can see what you have already been told.

We do not collect payment card numbers. If you pay by card, that is handled directly by the card processor and we do not see or store the card details.

Why we collect it

To quote work, schedule visits, do the work, invoice you, answer your questions, keep a record of what has been done at your property, and meet our tax and accounting obligations.

Who we share information with

We use a small number of companies to run our systems. They handle your information only to provide their service to us, and they are not permitted to use it for their own purposes.

We may also share information with our accountant, and with anyone we are legally required to give it to — for example in response to a lawful request from a government body or a court.

We do not sell your personal information. We do not share it with anyone for their own advertising or marketing.

How long we keep it

We keep your customer record and service history for as long as you are a customer, and afterwards for as long as we may need it — to honor a warranty, to answer a question about past work, or to meet tax and accounting requirements. Equipment records are genuinely useful years later, which is why we keep them.

If you ask us to delete your information, we will unless we are required to keep it.

Children

Our services are for property owners and occupiers. We do not knowingly collect information from anyone under 13.

Security

Access to our systems requires a staff login. Job photographs and signatures are not publicly accessible. Information travels to and from our systems encrypted. No system is perfectly secure, but we take the protection of your information seriously — particularly gate codes and access instructions.

Changes

If we change this policy we will update the date at the top. If the change is significant, we will say so on our website.
